How to Connect WhatsApp to Your CRM (HubSpot, Salesforce, Zoho, Pipedrive)

Most businesses running both a CRM and WhatsApp have the same gap: sales and support conversations happening on WhatsApp are invisible to everyone who isn’t in that specific chat. A rep can close a deal entirely over WhatsApp and the CRM record never reflects it happened — no timeline entry, no way for a manager to review it, no way for a teammate covering for someone to pick up context.

The fix sounds simple — “sync WhatsApp to the CRM” — but there are a few requirements that separate a genuinely useful integration from a superficial one, and it’s worth checking for these specifically before assuming a tool covers your case.

What to actually check for

Two-way sync

A lot of lightweight integrations only log inbound messages (what the customer sent) and skip outbound replies, which makes the CRM record look like a monologue rather than a conversation. Both directions, with correct timestamps and who sent each message, is the baseline for the record to actually be useful later.

Correct association, not just to a Contact

If your CRM tracks Companies (or Accounts) separately from individual Contacts, a message logged only on the Contact record is invisible to anyone looking at the Company — exactly where a manager or a teammate is likely to look first. A conversation needs to show up on both, from one sync, not as two separate integrations bolted together.

Real-world phone number matching

Country codes, formatting differences, a customer messaging from a number that isn’t the one on file — matching has to handle this properly. An integration that silently fails to match (and just doesn’t sync) is worse than one that flags an unmatched conversation for a human to resolve, because the first failure mode is invisible until someone notices data is missing.

Sync delay

A CRM record that updates once a day is fine for reporting but useless for a live handoff. If a manager needs to see “what did we already tell this customer” before jumping into a call, a multi-hour lag defeats the purpose. Minutes, not hours, is the bar for this to be operationally useful rather than just a historical log.

The capability already exists — the integration quality is what varies

HubSpot, Salesforce, Zoho, and Pipedrive all support this kind of integration through their own APIs (HubSpot’s timeline/engagements API, Salesforce Activities, and equivalents elsewhere), so the capability isn’t the limiting factor — the quality of the integration built on top of it is. Worth asking directly, before committing to a tool: does a message show up on the Company record, not just the Contact, and how fast?
